Privacy Notice
This notice explains what personal data Community of Trees may process, why we process it, and the rights available to you.
1. Who is responsible for your data
The data controller is Community of Trees / Κοινωνία των Δέντρων, a civil non-profit company based on Patmos, Greece.
For privacy questions, contact us at info@trees.life or by post at Chora Patmou, 85500 Patmos, Greece.
2. When this notice applies
This notice covers personal-data processing connected with trees.life, communications with the organisation, donations by bank transfer, participation in activities, and your interaction with third-party content or services linked from the website.
3. Data you give us
Contact
The Contact page has fields for your name, email address, and message. In the current website, the form does not send or store those fields on our server. It prepares a message to info@trees.life and opens your device's email application.
When you send us an email, we receive the information in that message. We use it to reply and to manage the related request.
Donations
The website publishes instructions for donations by bank transfer. The payment takes place outside the website through your bank. We may receive information associated with the transfer, such as the depositor's name, amount, date, and payment reference.
We use this information to reconcile and record donations, administer our accounts, address errors, and comply with legal obligations.
Activities and participation
If you contact us about an activity, event, or collaboration, we may process your contact details and the information needed to organise that specific activity.
4. Technical data
Like most websites, our hosting service may process basic request logs for operation and security. These may include your IP address, date and time, requested URL, browser, device type, and technical errors.
We do not use this information to build a commercial profile of visitors.
5. Cookies and similar technologies
The current website does not include its own advertising tracker or analytics system.
Some third-party content can cause your browser to communicate with that provider. Where a non-essential technology requires consent, it must be enabled only after the visitor makes the relevant choice.
6. Third-party services and content
The website includes or links to third-party services. Those providers may process technical data under their own privacy notices.
- Vimeo: some project pages use an embedded video player. We request the provider's “do not track” mode where supported, but loading the player still creates a connection to Vimeo.
- SoundCloud: Soundscapes players load only after you choose to listen to a recording.
- Adobe Fonts: the homepage may request font resources from Adobe Typekit. Internal pages also have locally hosted font files available.
- Instagram, Google Maps, Google Drive, Bandcamp, and other external destinations: these normally open only after you follow the relevant link, unless a page states otherwise.
7. Why we process personal data
Depending on the situation, we rely on one or more of these legal bases:
- our legitimate interests in operating and protecting the website and responding to requests,
- steps you ask us to take before or in connection with a specific relationship with us,
- legal obligations, including accounting, tax, and other mandatory records,
- your consent where the law requires consent for a particular activity.
8. Who may receive personal data
We provide access only where it is needed for the relevant purpose. Recipients may include authorised Community of Trees personnel, hosting and technical providers, banks, accountants or other professional advisers, and public authorities where disclosure is required by law.
We do not sell personal data.
9. Transfers outside the European Economic Area
Some online-service providers may process data outside the European Economic Area. Where Community of Trees is responsible for such a transfer, we use an appropriate mechanism required by law, such as an adequacy decision or approved contractual safeguards.
10. How long we keep data
We keep personal data only for as long as it is needed for the purpose for which it was collected and for applicable legal obligations or claims.
- Ordinary enquiries are kept only as long as needed to answer and reasonably follow up the request.
- Financial donation records are kept for the period required by applicable accounting, tax, and audit obligations.
- Technical logs are kept only as long as reasonably necessary for security and troubleshooting.
11. Photographs, video, and public activities
Community of Trees documents environmental, educational, and cultural activities. Photographs or recordings may show participants or other people. Where consent or another specific permission is required, we seek it in a form appropriate to the intended use.
We apply additional safeguards for children and other situations with a higher expectation of privacy.
12. Your rights
Under the GDPR, and subject to the conditions in applicable law, you may have rights to access, correct, erase, restrict, or receive certain personal data. You may also object to processing based on legitimate interests and withdraw consent you have given.
To exercise a right, email info@trees.life. We may need to verify your identity before we respond.
13. Complaints
You have the right to lodge a complaint with the Hellenic Data Protection Authority or another competent European Union supervisory authority.
14. Security
We use technical and organisational measures appropriate to the relevant risk. No internet service can guarantee absolute security.
15. Changes to this notice
We may update this notice when the website, our services, providers, or legal requirements change. The date at the top shows the latest revision.
